Question 1

What is BeatHearth?

Accepted Answer

BeatHearth helps venues across the United States plan party nights and coordinate event details. The venue event brief gathers information about your room, event, preferred date, location, planning needs, and contact so the details can be reviewed together.

Question 2

Who is the venue event brief for?

Accepted Answer

It is for venue teams planning a DJ or live-music night, seasonal party, milestone, community event, private event, or another kind of gathering. You can describe the room, audience, and what you want the night to include.

Question 3

What can BeatHearth coordinate for an event?

Accepted Answer

The brief lets you request DJ and music direction, door flow and security, drinks or bar specials and service, food or late-night bites, and other vendor coordination. Choose the components that fit your event and describe any additional needs in the notes.

Question 4

How do I share DJ and music direction?

Accepted Answer

Choose a live-music or DJ night when you describe the event, then use the planning selections and notes to share the mood, audience, and venue needs. BeatHearth uses those details as part of the event brief; a particular DJ or music arrangement is not confirmed by submitting it.

Question 5

Can the brief include door flow and security?

Accepted Answer

Yes. Door flow and security is one of the planning components you can select. Use the event notes to describe arrival flow and venue-specific needs so they can be considered with the rest of the plan.

Question 6

Are drinks and food included with every event?

Accepted Answer

The brief lets you ask about drinks, bar specials, or service. Food is optional: select food or late-night bites when they fit your event.

Question 7

Can I ask about other vendor coordination?

Accepted Answer

Yes. The event brief includes an “Other vendor coordination” option. Add the vendor needs or questions that matter to your venue in the event notes.

Question 8

What information should I include in an event brief?

Accepted Answer

Share your venue and event name, the kind of night, a preferred date, the venue city and state, and an expected guest estimate if you have one. Then choose one or more planning components, add useful context in the notes, and provide a venue contact. You can review the brief before sending it.

Question 9

Does a preferred event date reserve or confirm the date?

Accepted Answer

No. A preferred date is a planning request, not a reservation or availability confirmation. Sending an event brief starts a conversation about next steps.

Question 10

What happens after I send the event brief?

Accepted Answer

The brief is saved for the BeatHearth team to review, and the team will follow up about planning next steps. The brief does not promise a specific response time or confirm event arrangements.

Question 11

Do I need an account to send a brief?

Accepted Answer

No account is required to submit the venue event brief. It asks for a venue contact so the details can be reviewed and followed up on.
